MILVETS is currently seeking a Federal Proposal Coordinator, to join the Proposal Team in our Orlando, FL office.

CORE RESPONSIBILITIES

  • Support the proposal manager in implementing the proposal process on assigned opportunities, including managing logistics and handling routine communication.
  • Support the customization and maintenance of a variety of opportunity-specific tools, templates, matrices, and repositories
  • Perform desktop publishing and create graphics in compliance with solicitation requirements and firm standards
  • Organize all administrative aspects of proposal development—ensuring security and integrity of all proposal documentation, coordinating internal flow and review of all proposal inputs.
  • Interface with MILVETS pursuit team members, including subcontractor personnel, to facilitate proposal development activities
  • Attend strategy, status, and review meetings to capture action items and incorporate feedback into documents under development
  • Perform post-submission dissection and tagging of final proposal documents to support accessibility as future reference materials
  • Develops and maintains proposal schedules and be able to work on multiple proposals in parallel.
  • Coordinates and edits technical inputs for grammar and clarify.  Revises and improves technical content prepared by the team for bids.
  • Ensure documents are consistent and the format is compliant with stated requirements.
  • Establish the electronic file structure, archive, and back-up capability and procedures for all proposal materials on the team’s server system, the document electronic proposal file access and tracking protocols for ensuring the security and integrity of all proposal documentation
  • Provide proposal production support including printing, binder preparation, tabs and label production, CD printing, packaging, etc.
  • Provide support to proposal status meetings with minutes recording and dissemination.
  • Support proposal compliance reviews
  • Provides a quality assurance check for all documents deliverables.
  • Must be self-motivated and adaptable to learning and understanding new technologies
  • Must be able to prioritize and manage multiple tasks to meet aggressive deadlines
  • Other duties as assigned

EXPERIENCE AND CREDENTIALS

  • Bachelor's degree or higher is highly preferred
  • Minimum of 3 years proven successful experience supporting proposals (RFP, RFQ, IDIQ, Sources Sought) ideally in the information technology field, for the Federal Government and/or DoD, of moderate to high complexity.
  • High proficiency in Microsoft Office Suite applications including Word, PowerPoint, and Excel; proficiency in using SharePoint, Adobe Illustrator, and other graphic applications
  • Ability to work overtime often with no advance notice
  • Strong copy editing/proofreading skills and keen attention to detail
  • Proposal production experience a bonus
  • Excellent organization and time management skills
  • Should be a self-starter that can work independently and exercise judgement on a regular basis with minimal oversight along with a proactive service attitude with willingness to take a “hands-on” approach
  • Ability to work as a team member in a fast-paced environment with frequently shifting priorities
  • Ability to work with teams and individuals of varying working styles
  • Strong record of dependability and punctuality
  • Customer service and interfacing with customers experience required 
  • Excellent oral and communications skills
